    Microsoft Teams How-To

    WHAT IS TEAMS?

    Teams is a chat and conferencing app similar to Skype


    WHAT IS TEAMS FOR?

    • Chatrooms 
    • Video/Audio Calls 
    • Screen Sharing 
    • File Sharing


    HOW DO I GET TEAMS?

    Windows PC Users

    Teams for PC is included in Microsoft Office installations, if you downloaded Office from the Pacific College Hub then you likely already have Teams on your computer. If you do not have Teams installed, you can download it from the following link: Download and install Teams

    Mac Users 

    Teams for Mac must be downloaded separately from Office, you can download it from the following link: Download and install Teams 


    HOW DO I CHAT OR CALL WITH SOMEONE?  

    Click here for documentation on how to start a chat or call with someone. Below is also you can find some helpful tips  

    Starting a Chatroom 

    1.  To open a chat, click the New Chat button in the top or use the search bar to type the person’s name, the app will then open a chatroom with that person.  
    2. Once you’ve opened a new chat, you can click the Add People button to invite more people into the same chat 

    Starting a Call  

    1. Click the second purple button with the phone icon to start an audio-only call
    2. Click the first purple button with the video camera icon to use your webcam in the call

    Sharing Your Screen

    Click here for documentation on how to share a screen with someone. Screen sharing will allow you to show presentations/videos to everyone in your current call 

    1. Click the third purple button on the top right with the icon showing an arrow pointing at a box , Teams will then ask which screen to share if you have multiple monitors
    2. Once selected, everyone in the current call will be able to see your screen 


    HOW CAN I SHARE FILES WITH TEAMS?

    1. Sharing documents with everyone in the current chatroom 
    2. Click the Paperclip icon to share files with your current chatroom 
    3. If you share a file stored in OneDrive such as an Excel spreadsheet, people in your call will be able to not only view the file but also make changes to it on the fly 


    HOW DO I SET UP MEETINGS WITH TEAMS?

    1. Using Microsoft Office, you can create meetings that will set up a chatroom/call for you at the appropriate time 
    2. In MS Outlook, create the meeting and invite everyone who will be participating 
    3. At the top of the screen there should be a button that says “Teams Meeting” to integrate the meeting into the Teams app 
    4. Send Meeting Invite through Outlook 
    5. Invitees will receive the email with the RSVP for the meeting as well as a link to open the Teams app and automatically join the call  
    6. Join Meeting through Teams App 
    7. You can also join a Teams meeting by clicking the Calendar button on the left-hand sidebar, then finding the meeting in question and clicking on it

    USING TEAMS ON THE GO

    1. Using mobile apps to access teams remotely 
    2. Teams App can be downloaded/install on Android/iOS devices and used like the desktop version 
    3. Mobile version works similarly to desktop version, including calls and screen sharing.  NOTE: Wi-Fi or Wireless Data is required to do calls!
